Director Nomination and Election
Background
SEPA operates under the guidance of a diverse group of community-minded volunteers.
Our entire Board of Directors consists of unpaid volunteers, who offer a wealth of expertise, ideas, and enthusiasm for the work of the Association.
Our Board of Directors is responsible for the governance of our affairs and activities. They are the thought leaders and the doers. In other words not only are they are the navigators, they also hold the authority and responsibility for all activities and operations of the Association. The work they do is vital to our success.
The Board of Directors consist of at minimum of seven (7) persons, all of whom are elected from the regular membership. A Director must be a Regular Member in good standing to qualify for, or to continue to hold office. Elected from the Board members are the President, Vice President, Secretary and the Treasurer.
Each Director, other than the immediate Past President, is elected at an annual meeting. The term of office for a Director is for two years. It is our policy to have four of the seven periods of office alternating on even years - 2010, 2012, 2014, 2016 etc, with the remaining positions alternating on the odd years - 2011, 2013, 2015, 2017 etc. A Director can be re-elected at the end of their term.
A Director must be committed to attending at least 50% of all scheduled Board meetings. Annually this traditional involves monthly telephone conference calls and two or three 2 day meetings throughout the year. Directors are reimbursed for out of pocket expenses for travel and sustenance while on Association business.

Election Procedures
From lessons learned in previous elections, the 2014 Board of Directors developed a new schedule for the Elections that will hopefully provide members a better opportunity to get to know those nominated. The following outlines the new schedule of events leading up to the formal Elections:
- From now until Nov 2, online nominations will be accepted.
- Nov 7 at the evening dinner those nominated will be introduced and given 2 minutes to introduce themselves. The remainder of the evening will allow members the time to get to know the nominees before the election.
- Nov 8 during the AGM nominations from the floor will be accepted. The Election will be held and the new board members will be announced as soon as the votes are counted (no later than coffee break).
- Nov 8 Post Conference - the Directors meet immediately after the Conference is closed and shall elect from amongst themselves the President, Vice President, Secretary and Treasurer. The meeting usually lasts about 2 hours.
